This role focuses on ensuring that property operations, administrative processes and operational coordination run smoothly.
The Operations Assistant will assist with communication handling, operational coordination, property administration, financial administration and general back‑office tasks.

Core Responsibilities (Primary Duties)
1. Communication & Call Handling
- Monitor incoming calls for About The Stay and Blanc Elite
- Answer basic enquiries and log incoming requests
- Escalate urgent issues to the Operations Manager
- Schedule property viewings when required
- Take messages and ensure follow‑up actions are recorded
2. Guest & Operational Support
- Respond to guest inquiries when required
- Assist with check‑in related support
- Escalate guest issues to the appropriate team
- Communicate with cleaners or contractors when needed
3. Maintenance & Repair Coordination
- Log repair requests from tenants or guests
- Contact contractors for repair works
- Track repair progress
- Follow up to ensure issues are properly resolved
4. Administrative & Operations Support
- Maintain organised property documentation
- Track operational tasks and follow‑up items
- Update internal records and databases
- Support general operational workflows
Property Management Administration
· Preparing tenancy documentation
· Assisting with tenancy agreements
· Registering tenancy deposits
· Tracking tenancy start and end dates
· Organising tenancy files and documentation
· Conducting reference checks where required
· Coordinating tenancy move‑in / move‑out processes
· Utility & Bill Management
· Setting up utility accounts for properties
· Monitoring electricity, gas, water and council tax bills
· Tracking property bills and due dates
· Recording invoices and receipts
· Preparing bill summaries for finance review
· Ensuring payments are logged and documented
Contract & Supplier Management
· Organising service contracts
· Tracking renewal dates
· Maintaining supplier contact lists
· Assisting with sourcing contractors
· Managing contractor communications
Additional Operational Support (Training Provided)
· Viewing coordination and scheduling
· Key & lockbox management
· Inventory tracking for furniture and appliances
· Compliance monitoring (EPC, Gas Safety, Electrical certificates)
· Cleaning coordination and verification
· Property inspection record keeping
· Lead and enquiry tracking
Daily Tasks
· Monitor phone system and respond to calls
· Check guest messages and respond or escalate
· Review maintenance or repair requests
· Update ticket or task tracking system
· Follow up on ongoing contractor works
· Log all operational issues and resolutions
Weekly Tasks
· Review maintenance status across properties
· Update property documentation records
· Verify bill payments and invoices
· Review upcoming tenancy or booking changes
· Check compliance certificate expiry timelines
Monthly Tasks
· Utility account review and reconciliation
· Contract renewal monitoring
· Property compliance checks
· Operational reporting to management
· Inventory review and replacement tracking
Candidate Profile
We are looking for someone who is:
· Highly organised
· Detail-oriented
· Comfortable handling administrative tasks
· Able to manage multiple operational processes
· Fluent in written and spoken English
· Comfortable working remotely and independently
· Experience in property management, hospitality, administration or operations support is advantageous but not required.
· Training will be provided.
Compensation & Benefits
· Monthly salary: £700 – £1000 depending on experience
· Discretionary performance bonus
